Job description

Office Facility Coordination and Administrational Duties:

  • Manage mailing/delivery, reception, and general office-wide administrational activities
  • Administer invoices and accounting documents, including liaison with the Accounting
  • Facility coordination, including liaison with the building management (Kemper DC) email responses, coordinate janitorial work with Kemper management
  • Ensure Kitchen Beverages and Snacks are stocked and coordinated with Canteen
  • HLF Coffee Machine maintenance requires daily cleaning
  • Parking Access and Office Access provisioning coordinate with facilities and Bellevue Place management
  • Weekly team lunch coordination and management
  • Order and manage office supplies and equipment (Conf Rooms, Zoom, Printers with IT)
  • Provide support in the administration of internal and external (client) meetings and events/off sites
  • Welcome and hosting of all visitors and clients
  • Maintain Bellevue Office calendar
  • Talent Acquisition - Part of the hiring team for determining space and coordinating with Hiring manager - coordinate with HR Onboarding on new hires, office/desk setup on day 1, I-9 verification
  • Office First Aider and Safety Representative
  • Other tasks as required including raising PR (Purchase Requests)
  • Internal and Client Events
  • Help organize and support special programs/events Happy Hour at WA Bellevue office
  • Support location specific events - Team Morale event, Happy Hour or Dinner arrangements

  • Ensure office is kept clean
  • Organize storage area and have inventory of supplies (typically for new employees)
