Job Title: Facilities Administrator (Asset / PPM)

Location: Glasgow, G5 0US

Salary: £17,850 + Benefits

Hours: 40 hours a week, typically Monday to Friday (Flexibility required)

Our client is a large, national, Facilities Management company, based in Glasgow.

Due to a large new contract they have acquired with a large national retailer they are actively looking to recruit for a Facilities Administrator for the Asset and PPM (Planned Preventative Maintenance) department.

An immediate start is available.

Job Purpose:

To ensure the provision of PPM schedules and all relevant records are kept up to date. To maintain the Asset register for their retail client dependent upon area and support other areas as and when required. To ensure the accurate capture of relevant data pertinent to the role.

Key Accountabilities:

·To plan and set up all PPM schedules and distribute paperwork to engineers as per the schedules

·To process all PPM paperwork into relevant spreadsheets

·To update and maintain Asset Register

·To extract and collate Asset team information on a daily, weekly, and monthly basis or as and when requested

·To update database with relevant information captured on returned PPM sign off sheets

·To add returned PPMsign off sheets on to relevant PPM job Assets portals

·To ensure all changes that are highlighted by Engineers on PPM sign off sheets are accurately recorded on system

·To update Asset / PPM Manager on a regular basis with information on the Asset Team performance and to identify areas of the team which may require development

·To approach Asset / PPM Manager with any grievance or problem that may arise

·To add all invoices and relevant worksheets on to relevant PPM job to ensure an electronic copy of each contractors certificates and remedial issues

·To check and sign off for payment of all PPM invoices

·To record and maintain accurate Gas Certificates ensuring compliance procedures are met

·To plan gas Engineers future PPM visit in accordance with current certificate date ensuring compliance procedures are met

·To maintain jobs logged with Asset numbers and update as required

·To manage and maintain rental agreements and procedures

·To track update and process all rental requirements that are issued through pipeline

·To liaise with all hire companies to maintain accuracy or records

Candidates will ideally have a similar Facilities Administrator type background and he used to dealing with engineers / clients / sub-contractors / suppliers, any experience within Asset/ PPM would be an advantage but is not essential.

Candidates will need to be strong communicators, very organised and IT Literate (confident user of Microsoft Excel).
