Responsibilities: Receptionist - Responsible for managing the front desk;providing support to ensure facilities services are provided in aneffective and efficient manner. Receive,direct and relay telephone, fax & email and other queriesin an professional manner. Greet, assist anddirect candidates/new hires/visitors and the general public to theappropriate staff member. Manageincoming/outgoing mail and courier services. PA to the Board- Provided secretarial,administrational support to the Management on daily basis byattending the routine administrative paperwork and ensuring thesmooth flow of documents. Coordinate officemanagement activities. Arrange conferences,meetings, and travel reservations for the Management official andpersonal trips; Booking flight tickets, drivers and hotelreservations manual and/or online and obtain all the necessaryconfirmations for the bookings. Managingcalendar; Setting up meetings, organizing and maintaining diarieswith internal departments, external visitors and with seniorofficers at the different Governmental Authorities within UAE.Preparing the necessary legal documents required for thesemeetings. Taking minutes of meetings and following up on thediscussed matters if necessary. Filtering theManagement outlook/emails, briefing them, responding on theirbehalf and forwarding some of these emails to the internaldepartments for their actions. Handling correspondence,presentations and reports. Monitor, screen anddefine the appropriate action for all incoming correspondence,calls and visitors before it goes to the Management.Prepares routine letters, Organizational reports, gathersand summarizes data in order to ensure availability ofdata. Creating templates to organize andimprove assistance to Management work (i.e. action list, notes andactions for the (committees), implementation of hard and softcopies filing control system. Attendingmeetings with the clients and raising reports to the Partners whenit is necessary. Observes confidentialityprocedures and registers and tracks accountable documentation toensure security and control. Liaise with theHR dept. and coordinate the renewal of the Management documentation(i.e. visa, emirates ID, insurance policy including their familymembers). Education, Skills &Experience: Education- Bachelor degree in Business Management with Lawknowledge Skills - Someone with a positive, enthusiastic personality - and acan-do attitude. A driven and energetic teamplayer who loves to pitch in wherever they can.An incredibly organised and detail-orientedindividual. Team player and can takeinitiatives respecting procedures. Verycooperative and happy offering assistance to othercolleagues. Respecting and meeting deadlinesand following up instructions. Anxious tofinish tasks meeting the deadlines. Keen onfollow up matters. Easily adaptable to newchallenging environment. Excellentcommunication skills & a client centric mindset.Fluent in English and Arabic language.
