Position Purpose: The Human Resources Administrative Assistant is responsible for supporting the human resources department by administrative and clerical support as needed to the Human Resources Department Team Members and the organization.Essential Functions and Basic DutiesPosition Specific Performance Expectations:Answers and directs the department's phone calls, mail, faxes, etc.Provides general support to visitors, acting as the primary point of contact for all internal and external customers.Coordinate HR projects, meetings, trainings, and schedules appointments as needed.Attends and documents meetings as requested.Prepare paperwork for human resources correspondence.Assist in the preparation of regularly scheduled reports and communications.Maintains human resource and employment records including employee files in both hard and soft copy.Converts personnel files from hard copy to electronic format.Updating Human Resources database and process employee request as appropriate.Updates department procedure manuals for the Human Resources Department.Updates employee manuals and other policies, forms or documents at the direction of the Director of Human Resources.Responds to and completes all Verification of Employment and Reference Check requests in a timely manner per policy.Manages the monthly service award program with support from management and the Director of Human Resources.Reconcile all monthly benefit invoice statements.Submits expense reports and other check requests as needed.Documents human resources actions by completing forms, reports, logs and records as needed.Prepares reports and presentations for internal communications.Assists with orientation for new employees as appropriate.Coordinates with the HR team to assist with projects as needed.Projects excellent customer relations in all interactions.Provides clerical support for the Director of Human Resources and the Human Resources Department.Participates in special projects as requested by Director of Human Resources.Adheres to MRH and department dress code policies and procedures.Performs other duties as assigned.Organization Wide Performance Expectations:Demonstrates commitment to performing according to the CHOICE values of MRH and representing the organization in a positive and professional manner.Maintains patient confidentiality at all times.Upholds regulatory requirements to ensure continual compliance with departmental, hospital, state and federal regulations and policies.Follows all policies and procedures to ensure a safe environment for patients, public and staff.Completes annual education, training, in-service, and licensure/certification requirements; attends departmental and organizational staff meetings or reads meeting minutes.Reports to work on time and as scheduled; completes work within designated timeframes.Establishes and maintains effective verbal and written communication and good working relationships with all patients, staff and vendors.Utilizes initiative; strives to maintain steady level of productivity; self-motivated; manages activity and time.Actively participates in departmental and facility performance improvement and continuous quality initiatives.QualificationsMinimum Requirements: Must be at least 16 years of age (21 for driving positions)Must be able to legally work in the United StatesMust be able to pass a background checkMust be able to pass a drug screen and breath alcohol test (if applicable)Must complete employee health meetingEducation/Licensure/Certification:Associates degree preferredHuman Resources Certification, aPHR, PHR or SHRM-CP preferred.Unencumbered License/Certification (if applicable)Experience: Previous administrative or clerical experience preferred.Previous Human Resources experience preferred.
