Job description

Job Responsibilities:

  • Provide full spectrum of secretarial and administrative support to Managing Director, Head of Listing Division & Listing Compliance team
  • Manage the day-to-day calendar and travel arrangements, organize various meetings and assist with the preparation of meeting material
  • Handle travel reservations, staff expense and entertainment claims
  • Handle visitors' correspondences on behalf of the senior executives
  • Liaise and coordinate with internal and external business parties
  • Liaise with both internal and external clients to facilitate smooth and effective communication
  • Assist in any ad hoc duties and projects as assigned by Head of Listing
  • Handle confidential information with discretion
Job Requirements:

  • Experience in handling senior management committee meetings is essential
  • Experience in managing diaries for senior staff is a must
  • Experience using the Microsoft product suite including Outlook, PowerPoint and Excel
  • Knowledge of SharePoint and Convene is a plus
  • Strong interpersonal skills, a positive demeanor and a willingness to support ad-hoc requests
  • Honest, collaborative, flexible, details-minded, independent with a strong sense of responsibility
  • Able to work under stress and tight deadline
  • Good command of written and spoken English and Chinese. Proficiency in Putonghua is essential
