The Hilb Group of Florida, LLC, a growing fast paced Independent Insurance Agency, is hiring for an Administrative AssistantPrimary Job Responsibilities Act as our clients most Trusted Advisor, greet and direct visitors and operate multi-line, multi-office telephone system to answer incoming calls and direct callers to appropriate personnel. Work within established standards and procedures and perform job functions at a rate that permits the office to accomplish its goals. Handles all outgoing/incoming mail and will pick up and bring to post office, as assigned. Distributes incoming faxes to appropriate personnel, as assigned. Takes payments from clients, uploads to appropriate carriers, and provide receipts. Provides assistance to accounting, sales, and service departments as assigned. Assists with clerical functions such as filing, stuffing direct mail pieces, collating, updating in/out board as needed. Retrieve messages from overnight voice mail and forward to appropriate personnel, as assigned. Maintains the correct recorded temporary announcements and makes changes as necessary due to holidays, as assigned. Scans documents and e-files within the document management system for multiple office locations. Project a professional image on behalf of the agency.
